How to qualify leads automatically with artificial intelligence

What data to ask for, how to score leads as hot, warm or cold, and what to do with each one using an AI agent connected to your CRM.

Advisor talking with a potential client

Not everyone who messages you is going to buy. Some are ready today, others are thinking it over and others are just comparing prices. The problem starts when your team treats everyone the same: they spend as much time on people who won’t buy as on people about to, and the best leads wait.

An artificial intelligence agent can do that first sort for you, in every conversation and at any hour.

What data you need to qualify

Before automating, define what a “good lead” means for your business. Most companies use some version of these criteria:

  • Need: is what they want something you sell?
  • Budget: is it within your ranges?
  • Timing: when do they need it?
  • Authority: are you talking to the decision-maker, or will they need to check?
  • Contact details: name, company, email or WhatsApp.

The agent doesn’t interrogate: it gets this through short questions in a natural conversation, often with buttons so the customer can answer in one tap.

Hot, warm and cold

With that information, the agent scores each lead:

  • Hot: has the need, the budget and a near date. Wants to talk to someone.
  • Warm: real interest, but no date yet or still comparing.
  • Cold: exploring, budget doesn’t fit or what they want isn’t what you offer.

What to do with each one

Scoring only helps if it changes what happens next:

Lead Automatic action
Hot Book a call on the team calendar or alert the advisor by email or WhatsApp, with the conversation summary
Warm Enters an email sequence with information useful for their case
Cold Receives guides and articles, without taking up sales time

That way your salespeople spend their time on hot leads and nobody goes unanswered.

Everything saved, nothing copied

Every conversation ends with a record in your CRM, Notion or Google Sheets: name, contact, need, budget, score and a conversation summary. When the advisor calls, they already know everything the customer shared and don’t have to ask again.

Non-negotiable rules

A good qualification agent:

  • Never makes up prices or promises what the company doesn’t offer.
  • Shows the privacy notice before asking for personal data.
  • Hands sensitive topics to a person, or whenever the customer asks.
  • Respects business hours: after hours it promises a follow-up on the next business day.

What you learn over time

Beyond qualifying, conversations tell you what customers ask, which services interest them most and what information is missing from your website. It’s market research that arrives on its own.

This is the same kind of agent we use on our own website. If you want one for your business, explore sales and marketing automation or book a free call.
